WhatsApp automation for real estate: reply in seconds, book the site visit
· 2 min read · Wakflow
A property enquiry has a short shelf life. The buyer sent it to three agents at once, and the first one to reply with something useful usually gets the site visit. For most real-estate teams, that first reply comes hours late, from whoever happened to check their phone.
Where real-estate leads go cold
- Leads arrive from portals, ads, Instagram and walk-ins, each in a different place.
- Follow-up is slow because nobody owns the new lead in the first ten minutes.
- Site visits are agreed on a call and then forgotten, rescheduled or never confirmed.
- The pipeline lives in a sheet that only one person understands.
What the first five minutes should look like
The moment an enquiry lands, the buyer receives a WhatsApp message with the brochure and the location. A booking assistant then asks what they need — budget, configuration, timing — answers common questions from your own project details, and offers site-visit slots. If they prefer a call, an AI call-back reaches them within a minute in natural Hinglish.
Here is an example of the chat, labelled as such because the messages are illustrative:
Then the pipeline does the remembering
Each enquiry becomes a record in a property pipeline in the CRM, with its source, its stage and a follow-up task for the right salesperson. A visit that is booked creates a reminder for the buyer and for your team; a deal that goes quiet raises an alert.
Does the call-back really work?
In our own pilot, the AI voice caller made 68 calls, 85% of them were answered, and it speaks its first word 0.91 seconds after the person picks up (as of 27 Sep 2026). That is a pilot on one business, not a promise for yours — but it shows the speed the approach is built for.
How to begin
Start with the welcome message and the site-visit booking. Once that runs, add the AI call-back and the pipeline. If you tell us how many enquiries you get and where they come from, we will suggest the smallest setup that removes the delay.
